ADMINISTRATIVE/FINANCE ASSISTANT

Applications are invited from suitably qualified Nationals of Trinidad and Tobago to fill the above post in the Trinidad and Tobago Field Office

PURPOSE OF THE POST
Under the general supervision of the Head of Field Office the incumbent performs administrative and finance functions in support of Trinidad and Tobago programe.

MAJOR DUTIES AND RESPONSIBILITIES

  1. Prepares cash-flow/forecasting for Trinidad and Tobago
  2. Follows-up on Trinidad & Tobago budget by checking monthly expenditure reports to ensure that charges are properly allocated and allotments are not exceeded.
  3. According to the payment vouchers issued in Guyana office, prepares checks for signature in Trinidad and Tobago.
  4. Prepares journal vouchers for the Trinidad and Tobago office, when necessary, and sends for approval of the Operations Manager in the Guyana Office. Corrects inaccurate entries, transfers funds between accounts and liquidates obligations.
  5. Interacts with the Programme Section for timely preparation of the Supply Plan. Performs bidding processes and issues purchase orders according to procurement specifications and supply procedures
  6. Participates in Harmonised Approach to Cash Transfer (HACT) assurance activities.
  7. Arranges travel, including hotel reservations, issuing of local TAs and Travel Claims liquidations.
  8. Responsible for office maintenance, office filing and insurance. Participates in Trinidad and Tobago Salary Committee/surveys
  9. In charge of office inventory monitoring and update, office filing, management of local petty cash and attendance records maintenance.
  10. Drafts income registration for T&T to be approved by the Operations Manager of Guyana.
  11. Maintains contact with customs officials and follows up on preliminary supply clearance documentation to facilitate timely customs clearance of supplies and equipment.

EDUCATION
Completion of secondary education and additional training in finance, administration and accounting courses is necessary

EXPERIENCE
Four years of progressively responsible work in accounting and finance

OTHER KNOWLEDGE AND COMPETENCIES
Good judgment, Initiative, High sense of responsibility, Good knowledge of computer applications and Commitment. Very good knowledge of English is required. Working knowledge of Spanish is an asset.
